About the Role
As a Service Coordinator, you will play a critical role in the day-to-day coordination of service activities. You will be responsible for managing incoming service requests, scheduling and dispatching technicians, and acting as a key point of contact for customers. This role requires strong organisational skills, clear communication, and the ability to manage multiple priorities in a fast-paced service environment.
Key Responsibilities
- Manage and prioritise incoming service requests
- Schedule and assign jobs to technicians based on availability and skill set
- Coordinate daily activities of service technicians and subcontractors
- Answer and follow up incoming phone calls and monitor the service inbox
- Communicate professionally with customers, providing timely updates
- Create, track, and close service tickets accurately
- Create service jobs and quotations
- Schedule jobs in technicians’ calendars and coordinate subcontractor engagement
- Plan and allocate resources to meet IFOT, labour productivity, and lost time KPIs
- Coordinate breakdown responses and preventative maintenance services
- Liaise with customers to schedule validation and preventative maintenance work
- Review subcontractor invoices
- Book travel and accommodation for service staff
- Ensure workshop machines are clearly identified and tracked
- Process incoming goods and link them to relevant service jobs
- Ensure after-hours call coverage is maintained
- Collaborate closely with the technical team to maintain workflow efficiency
- Ensure safe working practices and procedures are followed at all times
- Support a strong commitment to exceptional customer service delivery
- Proven experience as an administrative assistant or service coordinator, ideally within a service or technical environment
- Strong communication and customer service skills, with the ability to translate technical information into client-friendly language
- Demonstrated experience in dispatching, scheduling, or service coordination
- Excellent organisational and time management skills with the ability to prioritise and multitask
- High attention to detail and ability to maintain accurate records
- Proficiency in Microsoft Office and service management systems
- A proactive, solutions-oriented mindset and strong problem-solving skills
